Position Overview

As the Administrative Services Coordinator you are responsible to be well-versed with the internal SPARK administration operations and contribute to assist in the areas of Human Personnel, Occupational Health and Safety, in addition to a varied array of administration and event support. The position demands a high level of initiative, and time management. You will demonstrate the ability to use discretion, maintain professionalism, confidentiality, and composure under pressure. Adaptable and flexible is a must needed skill set to provide efficient, quality service while multitasking and balancing simultaneous priorities.

Schedule: Monday - Friday, 8 hours/day Duties and Responsibilities

  • Works collaboratively with the Executive & leadership team, administration, and all program departments on all relevant SPARK initiatives, events, projects, and production work.

  • Create and maintain all administration lists for the organization, in addition support with document control of SPARK Teams file management.

  • Working knowledge of Microsoft Suite to create and update innovative and professional documentation (i.e., agency updates, meeting minutes, AGM materials and other resource materials, etc.).

  • Aids and assiststs with the coordination and execution of special initiatives and fundraising events.

  • Source, order, track and maintain all related SPARK technology assets. Liaison with tech providers to set up, offer maintenance and support tech issues with new/current technology systems.

  • Works collaboratively with leadership team to facilitate human personnel activities; recruitment, on-board processes, and administration support for staff training.

  • Performs routine tasks and management of SPARK Office 365 systems throughout the entire life work cycle of SPARK employees.

  • Participates in the development and function of the SPARK OH&S program; to establish a safe workplace, foster the culture and attention to the health and safety of the Administration Department and all other department areas.

  • Provides support to general reception and office duties.

  • Demonstrate strong written and verbal communication, along with the ability to be creative, detail orientated and flexible in the manner to which tasks and projects are completed.

Experience and Competencies:

  • Post-secondary education and experience in a Business Administration field

  • Experience and/or education in Human Services would be considered an asset for this type of supportive role.

  • Excellent knowledge of the issue of family violence, and trauma aware supports.

  • An extensive knowledge or word processing systems preferably Microsoft Suite is a must.

  • A valid driver's license combined with a 3-year clean driving history.
